These Terms and Conditions constitute a legally binding agreement made between you, whether personally or on behalf of an entity ("you") and Gaurav Tours And Travel ("we," "us," or "our"), concerning your access to and use of our website as well as any other travel service, cab rental service, or tour booking provided by us.
Please read these Terms carefully before making any booking. By using our website or booking our services, you acknowledge that you have read, understood, and agreed to be bound by these Terms and Conditions. If you do not agree with all of these terms, you are explicitly prohibited from using our site and booking our cabs or tour packages.
To ensure a smooth travel experience, please adhere to the following booking guidelines:
- Availability: All bookings of cabs (Swift Dzire, Innova Crysta, Ertiga, Tempo Traveller, etc.) and customized tours are subject to availability. Early bookings are strongly recommended during peak seasons (summer and snow seasons).
- Booking Confirmation: A booking is considered confirmed only upon receipt of the mutually agreed advance booking token deposit and the issuance of a confirmation voucher by our team.
- Luggage limits: Guests must inform us in advance about heavy luggage so we can allocate the correct vehicle configuration. Overloading vehicles beyond local RTO capacity guidelines is illegal and prohibited.
- Traveler Details: You are responsible for providing correct names, mobile numbers, and co-traveler counts. Any changes in group sizes must be communicated immediately as it may necessitate a vehicle upgrade.
Our pricing policy is built on transparency and fairness:

Advance Payment Token:
A minimum advance token payment (usually 20% to 50% depending on the itinerary complexity) is required to secure your cab booking and hotel reservations.

Balance Payment:
The remaining balance of the trip must be paid to our company or driver as per the customized billing schedule defined in your confirmation voucher (typically paid during the trip).

Inclusions & Exclusions:
Our rates include toll taxes, state border entry taxes, fuel, driver allowances, and parking fees as explicitly stated in the booking confirmation. Personal expenses, monument tickets, inner-line permit charges, adventure activity fees, and tips are excluded.

Pricing Modifications:
While quotes are locked upon confirmation, we reserve the right to modify rates if there are unexpected, drastic spikes in fuel prices, changes in government taxes, or if you modify the itinerary routes midway through your journey.
Since we pre-book vehicles and block guides for your tour, cancellation requests are governed by the following schedule:
- Cancellation 30+ Days Prior: 90% of the advance deposit will be refunded (10% processing fee applies).
- Cancellation 15-30 Days Prior: 50% of the advance deposit will be refunded.
- Cancellation Less Than 15 Days Prior: The advance deposit is non-refundable.
- No-Show or Early Departure: No refund will be provided if travelers do not show up on the scheduled date or decide to curtail their trip midway.
- Refund Processing: Approved refunds will be processed back to the original payment source within 7 to 10 working days.
As our travel partner, you agree to the following code of conduct during the trip:
- Identity Verification: All guests must carry a valid physical government-issued photo ID (Aadhaar Card, Passport, Voter ID) during the entire trip. ID copies are mandatory for entry at check-posts and hotels.
- Respect Local Guidelines: Hilly regions in Himachal Pradesh have sensitive environmental norms. Guests must not litter, damage local monuments, or disregard ecological instructions.
- Safety Compliance: Adventure travel (such as trips to Spiti Valley, Lahaul, Kinnaur) carries inherent risks. Guests must comply with safety guidelines from drivers, rescue personnel, and district administrations.
To ensure passenger and driver safety, we enforce the following rules:

No Night Driving in Hilly Areas:
Except in emergencies, driving on hill roads between 9:00 PM and 5:00 AM is discouraged due to low visibility, landslides, fog, and black ice risks. Itinerary timings will be managed accordingly.

Air Conditioning (AC) Guidelines:
In hilly terrains and steep climbs, the vehicle's AC must be switched off to prevent engine overheating and ensure sufficient pulling power. AC will be fully functional on flat highways and valley sections.

Driver Rest Periods:
Drivers must be given adequate rest periods to prevent driver fatigue. A standard driving shift is capped at 8-10 hours or 250-300 km per day.

Prohibited Activities:
Smoking, drinking alcohol, or consuming illegal substances inside the rental vehicle is strictly prohibited. The driver reserves the right to refuse service to passengers displaying unruly or hazardous behavior.
Traveling in Himachal Pradesh (especially places like Rohtang Pass, Spiti Valley, Keylong, Kaza, and border areas) often requires permits:
Procuring permissions (e.g. NGT Rohtang Pass Permits, Inner Line Permits for foreigners in Spiti) is subject to government availability, quota limits, and weather approvals. In case of unexpected changes in government rules, portal crashes, or denial of permits by local authorities, Gaurav Tours And Travel will not be held responsible. In such events, alternative sightseeing arrangements will be planned.
Gaurav Tours And Travel strives to provide a flawless travel service. However, we shall not be liable for any losses, delays, changes in itineraries, or cancellations caused by **Force Majeure** events:
- Natural disasters (landslides, avalanches, cloudbursts, heavy snowfall, earthquakes).
- Government restrictions, sudden road closures, rallies, strikes, or political unrest.
- Medical emergencies or sudden illnesses of guests.
- Flight or train delays/cancellations. Guests are requested to plan buffer time.
- Vehicle Breakdowns: In the rare event of a mechanical breakdown, we will arrange a replacement vehicle as quickly as local logistics permit. We are not responsible for delays or minor disruptions caused during the replacement transition.
